Enrollment sync

Fully automated sync: give AskElira staff access

Create a dedicated AskElira staff account in SchoolMint with the most limited role that can read applicants and write notes and statuses — not an administrator — send it through the connect page with your portal address, and we test the connection while you wait.

SchoolMint connects through a dedicated AskElira staff account, on the narrowest role that works. Our sync engine logs in each morning, reads your *Offered* and *Registration in Progress* lists, and keeps enrollment sequences current — you never install anything or click anything. Definitive family responses (accepted, declined, notes like "bringing paperwork Friday 3pm") are written back into SchoolMint once write-back is switched on for your school after go-live. If your team also keeps a Google Sheet tracker, Elira keeps it updated once you're live — see Google Sheets.

Create the account (about 5 minutes, one time)

  1. In SchoolMint, open your admin / user management area and add a new staff user.
  2. Name it something recognizable, e.g. AskElira Sync with email sync+yourschool@askelira.com (we'll confirm the exact address during onboarding).
  3. Give it the most limited role that can read your applicant list and write notes and statuses — in most SchoolMint accounts a staff or enrollment-coordinator role scoped to this enrollment period, not an administrator. That is all Elira uses: she reads the applicant fields enumerated in your Data Processing Agreement and writes a status and a note. She never needs user management, settings, billing, reporting exports, or any campus other than yours — and a credential that cannot reach those cannot leak them.

If your SchoolMint has no role that narrow, tell us. Roles differ between schools, so we cannot promise from here that a read-plus-note role exists in yours. If the only role that can write a note in your SchoolMint is a wider one, say so and we will work to it — on a dedicated account you can disable — rather than have you guess. We would rather start with an account that is too narrow and fails on the first sync than one that is too broad and works.

  1. Send us the login on Connect SchoolMint — never by plain email.

Connect it (about 1 minute)

On Connect SchoolMint you give two things:

  1. Your SchoolMint portal address — the address in your browser when you sign in, e.g. apply.yourschool.schoolmint.net. Without it we know the login but not the door it opens.
  2. The AskElira Sync login and password you just created. It is encrypted the instant you submit it.

Press Submit & test connection and we sign in straight away and read your applicant list, so you find out on the page — not the next morning — whether it worked. A good test says which enrollment cycle we found and how many families are in view. A failed one says so and keeps the form open: fix the address or the password and submit again. Nothing is sent to any family by a connection test.

Elira never asks anyone for a SchoolMint password in a chat, a text or an email. The only place it is ever typed is this page, signed in to your own dashboard.

What happens next

Have an access policy that doesn't allow this?

Tell us during onboarding — we'll work with your team on an access level and connection method that fits. There is no roster upload on the dashboard: if SchoolMint access isn't possible at all, tell us and we will work out another way with you.

Connect PowerSchool for attendance (read-only)
Install the AskElira plugin in your own PowerSchool, paste the client ID and secret it generates, and daily attendance arrives on its own — read-only, off unless your Order Form elects it, and not read at all until the PowerSchool notice period has run.
What happens after you request go-live
We verify the whole enrollment path against your own SchoolMint before anything goes live. You create nothing and there is nothing left for you to do.
